Arts By The Pond event is an open canvas where the local talents of artists, artisans, musicians, dancers, performers, culinary virtuosos, and creative landscapers, converge to paint a vibrant picture of our cultural landscape.
By having many diverse avenues of creativity coming together, we plant seeds of imagination that promise to blossom throughout our neighborhoods and beyond.
WELCOME TO ARTIST SUBMISSION FOR ARTS BY THE POND - DUE APRIL 28, 2024
If your submission is successful Please ensure you follow these guidelines:
1. Artists and artisans are responsible for the drop-off and pick-up of their artwork and/ or crafted items
2. Work needs to be ready to display/ hang properly upon delivery.
When your artwork is sold, payment will be issued to you by e-transfer. We handle all the transactions, and after deducting any agreed-upon gallery fees or commissions, we'll ensure that your profits are sent to you in a timely fashion, typically within 30 days post-sale.
Artists will be notified well in advance of the expected drop-off dates. We aim to plan and coordinate exhibitions with care. You'll receive an email and a phone call, if necessary, specifying the delivery window for your artwork, which generally falls a week prior to the event.

SUBMISSION GUIDELINES
• Include a brief description of the products or services you are offering
• Ensure all contact information in the form is double checked for accuracy
COSTS ASSOCIATED WITH BEING A VENDOR
VENDOR FEE - a participation fee of $50 is required for all vendors
INSURANCE REQUIREMENT - Vendors must have liability insurance with a minimum coverage of $2 million. If you don't have this coverage, you can purchase it through Over Here's partner provider.
We’ve partnered with Duuo Insurance to offer Arts by the Pond vendors affordable short-term insurance coverage that meets our requirements. Single day coverage begins at just $13. Get set-up in minutes HERE.
SPACE ALLOCATION - Each vendor is designated a 10' x 10' space outdoors on the library grounds. Locations are assigned by the Over Here Event Team.
BOOTH SETUP - Vendors must supply their own setup essentials including tables, chairs, tents, and any point-of-sale systems needed.
Please ensure all requirements are met to secure your vendor space at our upcoming event. We look forward to your participation!
We aim to review all applications promptly. Vendors can typically expect to receive a response regarding their application status within 2 weeks from the submission deadline.
Once accepted as a vendor, payment details will be provided. We accept various forms of payment, including cheques, credit/debit cards and bank transfers. Full payment must be completed by the specified deadline to secure your spot.
Yes, upon confirmation of your vendor application and processing of your payment, a receipt will be issued electronically. Make sure to provide a valid email address for billing purposes. If a paper receipt is required, please request it in advance.

Yes, vendors can team up with like-minded businesses to share a booth space, however, each person selling must have the appropriate insurance. This can be a cost-effective way to participate and showcase your products or services. Please inform us in your application if you intend to share a booth and with whom.
